How to Book an Artist for an Event in India (Step-by-Step)

Booking an artist for a wedding, college fest, corporate event or club night in India is still a messy, WhatsApp-forward-driven process for most people. Here is how to do it properly — and avoid the two classic disasters: overpaying a middleman, or an artist not showing up.

Step 1 — Define the brief before contacting anyone

Artists and their teams respond faster and quote realistically when you send a complete brief:

  • Date, city, venue (indoor/outdoor matters for sound)
  • Event type — wedding, fest, corporate, club, private party
  • Set length — 30/45/60/90 minutes
  • Audience size and vibe
  • Budget range — sharing it saves everyone a week of dancing around

Step 2 — Where to actually find artists

  • Direct on platforms: artist booking platforms like Gurily let you send an enquiry straight to the artist — you see their profile, work and get a quote without a chain of brokers
  • Instagram DMs: works, but expect slow replies and no accountability
  • Event managers / agencies: convenient for big multi-vendor events; expect a margin on top of the artist fee
  • College cultural committees: for fests, senior committees' artist contacts are gold

The broker-chain problem is real: by the time a quote reaches you through three middlemen, it may have doubled. Booking direct or through a transparent platform fixes this.

Step 3 — Understand real price drivers

Artist fees in India vary enormously, and these are the levers:

  • Popularity and demand — obviously
  • Travel — outstation shows add flights/travel, stay and crew costs
  • Date — wedding season (Nov–Feb) and December 31st command premiums
  • Set type — full band costs more than a DJ set or acoustic duo
  • Production — who provides sound and lights? If you expect the artist to bring them, the quote jumps

Always ask: is this quote inclusive of travel, stay, and crew, and who provides sound?

Step 4 — The advance and the contract

Standard practice in India:

  • 50% advance to block the date (some artists ask more in peak season), balance on/before event day
  • A simple written agreement — even one page — covering: date, venue, set length, fee, advance, cancellation terms, technical requirements (the "rider"), and force majeure

Never pay a full fee upfront to an unknown "manager". Verify you are talking to the artist's real team. On a platform booking, payments sit safely until the flow completes — Gurily's booking flow holds the deposit and releases it as the booking progresses, which protects both sides.

Step 5 — Event-day logistics that make or break the show

  • Soundcheck time confirmed with the venue (artists need 1–3 hours before doors)
  • A green room / waiting space
  • A point person with a phone that gets answered
  • Payment of balance BEFORE the set (most riders require it)

Red flags to walk away from

  • "Full payment today or the date goes" pressure tactics from a broker
  • No written anything after repeated asks
  • A "manager" whose WhatsApp DP is the artist's photo but who cannot do a video call
  • Quotes wildly below market — the no-show scam usually starts with a too-good price

The short version

Complete brief → direct or platform contact → itemised quote → 50% advance with a written agreement → confirmed logistics. That is the whole game.
